Student volunteers are the fundamental supporting structure of our event.

The SIGGRAPH Asia Student Volunteer Program provides unique opportunities for students and recent graduates to get involved with and contribute to the conference behind-the-scenes. Assisting attendees from all over the world, helping run a wide variety of interesting venues and serving shoulder-to-shoulder with many volunteers both old and new are some of the things that student volunteers get to experience.

Students are invited to volunteer 20 hours of service at the conference and, in return, they will receive a Full Conference pass to experience the entire conference in their free time. They will also have chances to meet face-to-face with thousands of industry pioneers, professionals and fellow peers, get one-on-one reviews of demo reels, résumés and portfolios (courtesy of SIGGRAPH Student Services) and meet like-minded and like-hearted students from all over the world.

Only open to students who have previously served as Student Volunteers. Applicants must complete TL-specific essays in addition to the regular elements of the Student Volunteer application.

Interested students are required to complete the application and upload proof of their full-time student status (valid student ID, transcript, or proof of enrolment, etc. - please see the eligibility criteria below).

Eligibility

SV (Student Volunteer) Eligibility Criteria

  • Enrolled as a full-time high school, undergraduate or graduate student during the 2018 academic year, or graduated after 1 January 2016.
  • At least 18 years of age as of Sunday, 2 December 2018.
  • Able to arrive in Tokyo, Japan before 12:00 UTC/GMT+9 (local time) on Monday, 3 December 2018 and stay until 18:00 on Friday, 7 December 2018. Other arrangements for arrival and departure should be made by contacting the SV Chair directly.
  • Able to present a current government-issued photo ID, such as a passport (overseas students from outside of Japan) or national ID (domestic students in Japan), at SIGGRAPH Asia 2018.
  • Willing and able to fulfil the required amount of on-site volunteer service allocated by the Program.
  • Proficient in the English language.
  • Complete their volunteer application prior to the SV Application Deadline (22 July 2018, 23:59 UTC/GMT).

TL (Team Leaders) Eligibility Criteria

  • Demonstrate outstanding abilities as a SV in at least one of the three most recent SIGGRAPH or SIGGRAPH Asia conferences.
  • Show themselves to be organized, motivated, enthusiastic and dedicated towards helping the conference run smoothly.
  • Capable of effectively managing large groups of people and performing well under pressure.
  • Able to arrive in Tokyo, Japan before 09:00 UTC/GMT+9 (local time) on Sunday, 2 December 2018 for TL training.
  • Complete their volunteer application prior to the TL Application Deadline (24 June 2018, 23:59 UTC/GMT).

Responsibilities

Attend Mandatory Orientation, Monday, 3 December 2018

Please plan your travel to arrive at Tokyo International Forum, Tokyo, Japan NO LATER THAN 12:00 on Monday, 3 December 2018, so that you will be able to check in before this mandatory meeting time. The location of the orientation will be announced in November.

Serve the SIGGRAPH Asia 2018 Conference, 4 - 7 December 2018

Commit 24 hours (approximately) of volunteer service to the conference.

Examples of Student Volunteer assignments include:

  • Monitoring doors
  • Checking badges
  • Assisting conference contributors at various venues
  • Providing general assistance for attendees in all areas of the convention center

You must not depart from Tokyo International Forum, Tokyo, Japan earlier than 18:00 on Friday, 7 December 2018. We recommend that you consider staying until Saturday, 8 December 2018 to celebrate a successful conference together with your new SIGGRAPH Asia colleagues on the Friday evening.

Be Punctual

Arrive at the Student Volunteer Office at least 30 minutes before each of your scheduled shift times with a smile on your face and a passion to serve!

Submission Deadlines and Outcomes

When is the deadline to submit applications to the Student Volunteer Program?

The deadline for all student volunteer applications is fixed at 22 July 2018, 23:59 UTC/GMT; applicants are responsible for their application status and only completed applications will be considered. Incomplete submissions will not be considered and all submissions must be made online. You are encouraged to submit early to allow time for unforeseen circumstances that may delay your submission, including problems with your internet connection.

How will SIGGRAPH Asia 2018 address network failures?

SIGGRAPH Asia 2018 is only responsible for the availability of the submission server. If the Student Volunteer Program Chair is notified of a hardware or service failure in the submission system, they will authorize an appropriate adjustment and inform applicants via the SIGGRAPH Asia 2018 website. All other network failures between an applicant's location and the SIGGRAPH server will not exempt them from deadline-related obligations. Note that the local clock on the submission server determines the final submission deadline time.

When and how will I be notified if I have been accepted?

All applicants who submit a completed application will be notified of their application's status via email by 25 August 2018, 23:59 UTC/GMT. Team leaders will be notified by 1 July 2018, 23:59 UTC/GMT.

Applications

Am I expected to speak English?

Most definitely, applicants must be able to converse in English fluently. Of course, knowledge of other languages (such as Japanese in this instance) adds value to your application.

How do I apply to be a Team Leader?

Apply by 24 June 2018, 23:59 UTC/GMT. The TL application is only open to students who have previously served as student volunteers. Please complete the regular Student Volunteer application and the Team Leader essays by 23:59 UTC/GMT.

In my application, I indicated that I need housing; will accommodation automatically be awarded to me?

No, unfortunately not all applicants who request for housing can be provided with accommodation due to tight capacities. However, the committee will try to house as many international SVs as possible.

My email address will be changing soon. How can I notify you of the update?

You can change your contact information using the online system at any time.

I have submitted the online form, but it still allows editing. Am I done?

Yes and you may continue editing it until the submission deadline.

Acceptance and Deployment

I am a Student Volunteer working 24 hours and I am receiving complimentary hotel accommodation. However, I will arrive Tokyo, Japan a day early. Can I get an extra night of accommodation?

No. Decisions on complimentary housing are final and cannot be negotiated.

I have been accepted as a Student Volunteer, but I am no longer able to attend the conference. Who should I notify?

If you need to decline your position for any reason, please send an email to the Student Volunteer Program Chair as soon as possible so that we can make alternative arrangements.

What should I wear during the conference?

Thick, comfortable clothes and shoes (appropriate t-shirts, polo shirts, shorts, jeans, trousers, and sneakers). Many attendees dress casually during the conference, and formal business attire is generally not required. Please note that this is a professional conference and thus, if you are not sure if something is appropriate or not, please ask.

*Additionally, please take note that December in Japan brings mostly cool, dry, late autumn days. While it will feel noticeably cooler, with high temperatures averaging 11°C Degrees Celsius /52°F Fahrenheit and overnight lows of 4°C Degrees Celsius /39°F Fahrenheit, a warm coat is usually plenty to keep you comfortable outdoors. Don't forget those sunglasses, as the sun shines brightly this time of year.

What are my working hours like?

Depending on the duties assigned, student volunteers may have shifts that start as early as 8am and end at 7pm. However, there are shifts that do run later. Some student volunteers may have schedules that run as late as 10pm. We will do our best to avoid rostering students back-to-back and spread their shifts over the course of the conference, but we cannot guarantee this.

What is a Student Volunteer expected to do during the conference?

There are numerous tasks to be done by student volunteers, including checking passes at venue entrances and assisting at registration counters. All these tasks play a very important role towards the success of the conference.

What is a Team Leader expected to do during the conference?

Team leader's tasks, on top of the usual student volunteer tasks, include leading and coordinating student volunteers in their respective areas and coordinating volunteer duties with the SIGGRAPH Asia 2018 Conference Committee members overseeing venues over the course of the conference week. Team leaders also aid in training and supervising student volunteers, as well as assisting the organizers, other committee volunteers and attendees.

Can I bring personal items and bags to the event venue?

Yes. The Student Volunteer Program Office will reserve an area for student volunteers to keep their personal items. However, do note that SIGGRAPH Asia 2018 organizers will not be responsible for any lost or stolen items.

What should I do if I am dismissed early from my shift?

You should inform your team leader and then report to the Student Volunteer Program Office. If you cannot find your team leader, please report directly to the Office.

General Matters

Are cameras allowed in the conference?

You can take your camera to the receptions, but use of camera is not permitted at certain conference sections unless you have an approved media pass or are part of the organizing committee.

Will I be able to experience some of the exhibits and other conference events?

Yes. As one of the perks of being a Student Volunteer, you will have the equivalent of a Full Conference registration, so you will be able to go almost anywhere in the conference. The exhibition hall and most of the conference will be open to you during your free time.

My question is not in these FAQs. Who should I ask?

Please send an email to the Student Volunteer Program Chair and they will reply to you as soon as possible. Should your question apply to other student volunteers as well, we will post your question, the answer to it, and other additional information on the web site.
